Conversation Piece provides voice conversations with AI guides on chosen subjects. We are responsible for your personal data under UK data protection law.
- Data controller: JHAI, a sole trader trading as Conversation Piece.
- Based in: Ashbourne, Derbyshire, United Kingdom (this is our general location, not a postal address).
- Privacy and support email: hello@conversationpiece.app
- Postal address for written correspondence: to be added.
What we collect and why
| Information | Purpose | Lawful basis |
|---|---|---|
| Email address, password (stored only as a secure hash) or your chosen sign-in method, verification status | Create and secure your account; confirm one free introduction per customer | Contract; legitimate interests in preventing abuse |
| Saved subjects, recently viewed subjects, recent searches, guide-voice choices | Provide your library, history and preferences | Contract |
| Your voice during a call, and the words and context of the conversation | Turn speech into text, generate the guide's spoken replies and keep the conversation on topic | Contract |
| Subject memories (short summaries of earlier conversations on a subject) | Let a guide pick up where you left off on that subject | Contract |
| Call times, minutes used, balance and entitlement records | Measure and limit conversation time accurately | Contract |
| Membership status, payment references, invoices (not your full card number) | Take payment, credit minutes, handle renewals, cancellations and refunds | Contract; legal obligation (tax and accounting records) |
| Security, error and administrative audit records | Keep the service secure, fix faults and record support actions | Legitimate interests in running a secure, reliable service |
You need to give an email address to create an account; without it we cannot provide the service. Conversations are optional, but the service cannot work without processing your voice during a call.
Sensitive topics. Some subjects (for example faith or health) may lead you to share sensitive information. Please share only what you are comfortable with. We use what you say only to hold the conversation and the subject memory you can delete at any time.
We do not sell your personal data, show advertising, or make decisions about you with legal or similarly significant effects by automated means.
Who we share it with
We use carefully selected service providers acting on our instructions:
- Hosting, database and account-security providers — store your account and app data.
- AI voice and audio processing providers — receive call audio and conversation context to recognise speech and produce the guide's voice.
- AI language providers — receive conversation text to generate replies, summarise subject memories and choose a suitable guide.
- A secure payment processor — collects card details directly in its checkout and handles payments, invoices and the billing portal. We never see or store your full card number. The checkout shows the processor's own notices.
- Sign-in providers you choose — if you choose to sign in with an external account, that provider confirms who you are.
- Email delivery providers — send verification and account emails.
- Font delivery provider — serves the typefaces used on the site; it receives your device's IP address when pages load.
Our authorised administrators may access account and billing records for support and security; their actions are logged. We may disclose information where required by law. Where the law requires a specific provider to be named, we will name it — ask us at hello@conversationpiece.app.
International transfers
Some providers process data outside the UK, including in the United States and the European Economic Area. Where data leaves the UK we rely on UK adequacy regulations or appropriate safeguards such as the UK International Data Transfer Agreement or UK Addendum to the EU Standard Contractual Clauses. Contact us for details or a copy of the relevant safeguards.
How long we keep it
- Account, library and preferences: while your account exists; removed when you delete your account.
- Subject memories: until you delete them or your account.
- Recent searches and recently viewed subjects: only your newest ten of each; older entries are permanently deleted automatically.
- Audio: the app does not save recordings of your calls. Our voice and language providers may keep call data briefly under their own retention settings.
- Payment and invoice records: kept as required for tax and accounting law (normally six years).
- A restricted, scrambled fingerprint of your verified email and trial or promotion eligibility: kept after account deletion so free introductions cannot be claimed repeatedly.
- Administrative audit records: kept for security and accountability.
See Data protection for more detail.
Your rights
You have the right to access, correct, delete, restrict or object to our use of your data, to data portability, and to withdraw consent where we rely on it. You can download your app data and delete memories or your whole account from your Account page, or contact us at hello@conversationpiece.app. We normally reply within one month.
If you are unhappy, please contact us first. You can also complain to the UK Information Commissioner's Office: ico.org.uk/make-a-complaint, telephone 0303 123 1113.
